How to Add an Account in Outlook 2013

This guide provides instructions on how to connect your mail client to Intermedia mailbox

Windows

There are several suppored versions of Outlook client for Windows. Intermedia provides a tool called Outlook Profile Helper to set up profiles automatically.

Note: using Outlook Profile Helper, you can only connect to an Exchange mailbox.

Microsoft Outlook 2007/2010/2013 AutoDiscovery is an Exchange Server 2007/2010/2013 feature which makes it so much easier to configure the Outlook 2007/2010/2013 profiles. The only information you need to know to set up Outlook 2007/2010/2013 using this feature is your email address and mailbox password. This is sometimes easier than using Outlook Profile Helper.

Notes:

  1. A special DNS record must be configured for your domain in order for you to take advantage of the Outlook 2007/2010/2013 AutoDiscovery feature.

  2. If you want to automatically enable Cached Exchange Mode (this may improve performance), you should use the Outlook Profile Helper. Outlook 2013 enables Cached Mode by default when configuring using AutoDiscovery feature.
  3. If you want Outlook 2007/2010/2013 to be able to save your password, you need to use the Outlook Profile Helper.

To set up Outlook 2007/2010/2013 using the AutoDiscovery feature:

1. Go to Start > Control Panel > Mail > Show Profiles and click Add. You will see the New Profile window. Type a profile name and click OK.

2. Type your name, primary email address, and your mailbox password twice, then click Next.

3. When you get a security prompt, check the box Don't ask me about this website again and then click Allow.

4. You'll then might be prompted for your user name and password. Enter your primary email address in the User name box and type your mailbox password.

5. Outlook 2007/2010/2013 will now discover your email server settings and configure itself to connect to your mailbox. Once it's completed, you can click Finish. Now you can open your new profile in Outlook 2007/2010/2013.

Note: If you are configuring Outlook using the Autodiscovery feature, checkbox On fast networks, connect using HTTP first, then connect using TCP/IPmight be NOT checked. It can slow down Outlook performance. To check the box, checkChange account settings (above screenshot) > Next > More Settings > Connection > Exchange Proxy settings.

Outlook 2007

You can connect your Outlook 2007 client either to an Exchange mailbox or to a POP/IMAP mailbox.

    • Exchange mailbox can contain 3 types of data: mail. contacts and calendar items. This data is synchronized between the server and any mail client configured to connect to the mailbox. Exchange mailbox can be accessed via MAPI, IMAP or POP. Depending on the protocol you are using to connect to the mailbox, different features will be supported:
      • MAPI
        • Ddirect live connection to the mail server.
        • Shared Inbox, Calendar, Contacts, Tasks, Notes and Free/Busy information for scheduling, Public Folders.
        • Out of Office Assistant.
        • Server-side rules and alerts.
        • Optional server-side spam management.
      • IMAP
        • Direct live connection to the mail server.
      • POP
        • Send/Receive mail only.

Important: We strongly recommend to use the IMAP protocol instead of POP protocol as POP protocol is considered to be outdated and can cause the performance issues for your mailbox.

  • POP/IMAP mailbox contains mail data only. The following features are supported:
    • Enabling forwarding.
    • Adding a mailbox to a Distribution List.
    • Setting up autoreplies.
    • Hiding a mailbox from address book.
    • Storage management.

Connecting Outlook 2007 to an Exchange mailbox

To manually connect Outlook 2007:

  1. Go to your Outlook mail settings from Start > Control Panel > Mail.
  2. If you cannot locate the Mail icon within Windows Control Panel, try the following steps:
    • To the left of the Windows Control Panel, but in the same window, select Classic View.
    • If Mail still does not appear as an individual icon, look for it under Show 32-bit Control Panel Items.
  3. Click the Show Profiles button

  4. Click Add for a new profile. Specify your Profile Name (can be anything) and click OK.

  5. On the Account Setup page, select Manually configure server settings or additional server types and then click Next.

  6. Select Microsoft Exchange and click Next:

  7. Enter your Exchange server settings and click More Settings:
    • Microsoft Exchange Server.
      Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. You can find the server name in HostPilot® Control Panel > Home > Exchange Servers and Settings.
    • Use Cached Exchange Mode: Yes.
    • Username: Full email address.

      Note: You can ignore the password prompt at this point of setup. If you get an error message or additional login request, click Cancel again.
  8. Navigate to Connection tab, select the checkbox Connect to Microsoft Exchange using HTTP and click Exchange Proxy Settings.
    On Exchange proxy settings page specify the following:
    • Use this URL to connect to my proxy server for Exchange: You can find the server name in HostPilot® Control Panel > Home > Home > Exchange Servers and Settings > Exchange Proxy Setting.
    • Connect using SSL only: Yes.
    • On fast networks, connect using HTTP first, then connect using TCP/IP: Yes.
    • On slow networks, connect using HTTP first, then connect using TCP/IP: Yes.
    • Use this authentication when connecting to my proxy server for Exchange: NTLM authentication.

Connecting Outlook 2007 to an Exchange mailbox using POP/SMTP or IMAP/SMTP protocols

To manually configure Outlook 2007 to connect to the Exchange server using POP/SMTP or IMAP/SMTP protocols:

  1. Go to your Outlook mail settings from Start > Control Panel > Mail.
  2. If you cannot locate the Mail icon within Windows Control Panel, try the following steps:
    • To the left of the Windows Control Panel, but in the same window, select Classic View.
    • If Mail still does not appear as an individual icon, look for it under Show 32-bit Control Panel Items.
  3. Click the Show Profiles button

  4. Click Add for a new profile. Specify your Profile Name (can be anything) and click OK.

  5. Check the Manually configure server settings or additional server types box and click Next.

  6. Choose Internet E-mail and click Next.

  7. Type in the settings:

      • Your Name: Display Name of the user
      • Account Type: Choose POP or IMAP. Note: We strongly recommend to use IMAP.
      • Incoming mail server. *
      • Outgoing mail server. *
      • User Name: full email address of Exchange mailbox
      • Password:Exchange mailbox password.
    * Important:
      • to protect your account information, we cannot publish your Server names in the public Knowledge Base. To get this information, please navigate to
    HostPilot > Home > Exchange servers and settings > Outgoing mail (SMTP)/ Incoming mail (POP/IMAP).
  8. Click More Settings > Outgoing Server and check My outgoing server (SMTP) requires authentication box

  9. Switch to Advanced tab and put in the settings

    • Use the following type of Encrypted connection (for Incoming Server): SSL (port number changes automatically to 993 for IMAP;  to 995 for POP)
    • Use the following type of Encrypted connection (for Outgoing Server): TLS (you can use ports 25, 465 or 587).
      Note: You can also increase server timeout setting to improve performance.
  10. Click OK > Next > Finish.

Confirm that the necessary services are enabled for the user's mailbox:

  1. Log in to HostPilot and navigate to the Services > Mailboxes page.
  2. Click the user's Display Name to view the settings for the user's mailbox.
  3. Click Advanced Settings.
  4. Make sure thatPOP (IMAP) checkbox is selected. If they are not, select them and click Save Changes.

Connecting Outlook 2007 to a POP/IMAP mailbox

To configure Outlook 2007 to connect to a POP/IMAP mailbox:

  1. Go to your Outlook mail settings from Start > Control Panel > Mail.
  2. If you cannot locate the Mail icon within Windows Control Panel, try the following steps:
    • To the left of the Windows Control Panel, but in the same window, select Classic View.
    • If Mail still does not appear as an individual icon, look for it under Show 32-bit Control Panel Items.
  3. Click the Show Profiles button
  4. Click Add for a new profile. Specify your Profile Name (can be anything) and click OK.
  5. Check the Manually configure server settings or additional server types box and click Next.
  6. Choose Internet E-mail and click Next.
  7. Enter the required information in the E-mail Accounts window, using the following guidelines:
    • User Information
      • Your Name: This should be your full name.
      • E-mail Address: This should be your Primary Email address.
    • Logon Information
      • User Name: This should be your Primary Email address.
      • Password: Password for your POP/IMAP mailbox.
    • Server Information Enter the server names in lower case in both Incoming email server and Outgoing email server.
      Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. You can find this information on theHostPilot® Control Panel > Users > POP/IMAP Mailboxes page, click the View Instructions button at the top of the page to view Outlook configuration instructions.
      Important: You cannot use the server name which can be found in HostPilot > Home > Exchange Servers and Settings > Incoming mail (POP/IMAP).
  8. Click More Settings.
  9. Switch to Outgoing Server tab and check the box next to My Outgoing server (SMTP) requires authentication.
  10. Switch to theAdvanced tab.
    • For Incoming server (POP3 or IMAP): make sure port 993 (for IMAP) or 995 (for POP) is entered, select the checkbox next to This server requires an encrypted connection (SSL)
    • For Outgoing server (SMTP): enter port 465 or 587, select TLS in drop-down menu.
    • For POP3 connection you may want to select an option to Leave a copy of messages on the server.
  11. Click OK, click Next and Finish to complete setup.
  12. Start Outlook.

Outlook 2010

You can connect your Outlook 2010 client either to an Exchange mailbox or to a POP/IMAP mailbox.

To manually connect Outlook 2010 to your Exchange mailbox:

  1. Go to your Outlook mail settings from Start > Control Panel > Mail.
  2. If you cannot locate the Mail icon within Windows Control Panel, try the following steps:
    • To the left of the Windows Control Panel, but in the same window, select Classic View.
    • If Mail still does not appear as an individual icon, look for it under Show 32-bit Control Panel Items.
  3. Click the Show Profiles button

  4. Click Add for a new profile. Specify your Profile Name (can be anything) and click OK.

  5. On the Account Setup page, select Manually configure server settings or additional server types and then click Next.

  6. On the Choose Service page, select Microsoft Exchange or compatible service and click Next.
    .

  7. On the Server Settings page:
    - Specify your Server FQDN as Exchange server name..
    Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. You can find it in  HostPilot® Control Panel > Home > Exchange servers and settings.
    - Type your Exchange Mailbox Username (email address).
    - For theOffline use option, make sure that Use Cached Exchange Mode is selected.
    - Click the More Settings button

  8. Switch to the Connection tab, check the Connect to Microsoft Exchange using the HTTP box and click the Exchange Proxy Settings button.
    -Specify Exchange proxy settings.
    -Type the URL for your proxy server in the Use this URL to connect to my proxy server for Exchange field.
    You can find the correct URL in HostPilot > Home > Exchange servers and settings.
    -Make sure that both the options On fast networks and On slow networks are checked.
    - In the Proxy authentication settings box, choose NTLM authentication.

  9. If you want to have Outlook save your password, read the Knowledge Base article on  for more information.
  10. Click OK, then Apply, thenOK to return to the Add New Account window. Click Check Name.
    If you have set everything up properly, you will see a window requesting authentication.
  11. Enter the complete primary email address as the username, and enter the password for the mailbox.
    If you have entered the username and password correctly, the username will now be underlined, and the entry in the Microsoft Exchange Server field will also be underlined.
    Note: If your server is Exchange 2013 the server name will get underlined and will resolve into a name that looks like 20250514-db52-4776-b627-0edf7599bbe4@YourDomainName.com. Such a conversion is expected behaviour for Exchange 2013 mailboxes.
  12. Click Next, then Finish, then OK to save changes.
  13. Start Outlook and log in, using the same credentials as in step 9.

Notes:

  • We recommend performing a clean install of Outlook before configuring it to connect to your Exchange server. If you already have a previous version of Outlook installed on your PC, please uninstall this version (from Control Panel > Add/Remove Programs), reboot your PC, and then install Outlook 2010. After performing a clean install of Outlook 2010, you're now ready to configure it to connect to your Exchange mailbox.
  • You will not be able to install Outlook 2010 or any other Office 2010 product if an Office 2003 product is installed on the same computer.
  • Your OS should be SP1 with all Windows updates for Outlook 2010 to successfully connect to Exchange 2013 mailbox.

Connecting Outlook 2010 to an Exchange mailbox using POP/SMTP or IMAP/SMTP protocols

  5. Choose E-mail Account and click Next.
  6. Choose Manually configure server settings or additional server typesand click Next

  7. Choose Internet E-mail and click Next.

  8. Type in the settings:

      • Your Name: Display Name of the user
      • Account Type: Choose POP or IMAP. Note: We strongly recommend to use IMAP.
      • Incoming mail server. *
      • Outgoing mail server. *
      • User Name: full email address of Exchange mailbox
      • Password:Exchangemailbox password.

    * Important:

    HostPilot > Home > Exchange servers and settings > Outgoing mail (SMTP)/ Incoming mail (POP/IMAP).
  9. Click More Settings > Outgoing Server and check My outgoing server (SMTP) requires authentication box

  10. Switch to Advanced tab and put in the settings

  4. Specify your Profile Name and click OK.
  5. Ignore the Auto Account Setup Page, select the checkbox next to Manually configure server settings or additional server types and click Next.
  6. Select Internet E-mail and click Next.
  7. Enter the required information in the E-mail Accounts window, using the following guidelines:
    • User Information
      • Your Name: This should be your full name.
      • E-mail Address: This should be your Primary Email address.
    • Logon Information
      • User Name: This should be your Primary Email address.
      • Password: Password for your POP/IMAP mailbox.
    • Server Information Enter the server names in lower case in both Incoming email server and Outgoing email server.

      • New Outlook Data File: If you choose this option, a new PST file will be created. You will see it in the folder tree.
      • Existing Outlook Data File: Choose this option if you want to place messages in the existing PST file.
  8. Click More Settings.
  9. Switch to Outgoing Server tab and check the box next to My Outgoing server (SMTP) requires authentication.
  10. Switch to theAdvanced tab.
    • For Incoming server (POP3 or IMAP): make sure port 993 (for IMAP) or 995 (for POP) is entered, select the checkbox next to This server requiers an encrypted connection (SSL)
    • For Outgoing server (SMTP): enter port 25, 465 or 587, select TLS in drop-down menu.
    • For POP3 connection you may want to select an option to Leave a copy of messages on the server.
    • For Outlook 2013: enter Inbox in the Root Folder Path field.
  11. Click OK, click Next and Finish to complete setup.
  12. Start Outlook.

    If you cannot locate the Mail icon in Windows Control Panel, turn on Classic View (click Classic View on the left side of the Control Panel window).
  2. Specify your Profile Name and click OK.

  3. On the Auto Account Setup page, select Manually configure server settings or additional server types and then click Next.

  4. On the Choose Service page, select Microsoft Exchange or compatible service and click Next.

    - Specify your Server FQDN as Exchange server name.

  9. Type in the settings:

    • Your Name: Display Name of the user
    • Account Type: Choose POP or IMAP. Note: We strongly recommend to use IMAP.
    • Incoming mail server. *
    • Outgoing mail server. *
    • User Name: full email address of Exchange mailbox
    • Password:Exchangemailbox password.

  2. Click the user's Display Name to view the settings for the user's mailbox.

Connecting Outlook 2013 to a POP/IMAP mailbox

Important: to guarantee service security, we are enforcing high-grade encryption level for sending emails via POP/IMAP mailboxes. SSLv2 and SSLv3 are no longer supported. Verify that your mail clients/mobile devices are using the latest software version and that officially supported version of Operating System is being used. The update is being gradually rolled out on all Intermedia domains.

To configure Outlook for Windows to connect to a POP/IMAP mailbox:

  1. Go to your Outlook mail settings fromStart > Control Panel > Mail.
  2. If you cannot locate the Mail icon within your Windows Control Panel, try the following steps.
    • To the left of the Windows Control Panel, but in the same window, selectClassic View.
    • If Mail still does not appear as an individual icon, look for it underShow 32-bit Control Panel Items.
  3. Click theShow Profilesbutton and clickAdd for a new profile.
  4. Specify yourProfile Nameand click OK.
  5. Ignore theAuto Account Setup Page, select the checkbox next toManually configure server settings or additional server typesand clickNext.
  6. Select POP or IMAP (Internet E-mail for the older Outlook versions)and clickNext.


    Note: We strongly recommend to use IMAP protocol.
  7. Enter the required information in the E-mail Accounts window, using the following guidelines:
    • User Information
      • Your Name: This should be your full name.
      • E-mail Address: This should be your Primary Email address.
    • Logon Information
      • User Name: This should be your Primary Email address.
      • Password: Password for your POP/IMAP mailbox.
    • Server Information Enter the server names in lower case in both Incoming email server and Outgoing email server.
      Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. You can find this information on theHostPilot® Control Panel > Services > Mailboxes > POP/IMAP Email section, click theView Instructions button at the top of the page to view Outlook configuration instructions.
      Important: You cannot use the server name which can be found inHostPilot > Home > Exchange Servers and Settings > Incoming mail (POP/IMAP).
    • Deliver New Messages To(for Outlook 2010/2013)
      • New Outlook Data File: If you choose this option, a new PST file will be created. You will see it in the folder tree.
      • Existing Outlook Data File: Choose this option if you want to place messages in the existing PST file.
  1. ClickMore Settings.
  2. Switch toOutgoing Servertab and check the box next toMy Outgoing server (SMTP) requires authentication.
  3. Switch to theAdvanced
    • For Incoming server (POP3 or IMAP): make sure port 993 (for IMAP) or 995 (for POP) is entered, select the checkbox next toThis server requires an encrypted connection (SSL)
    • For Outgoing server (SMTP): enter port 25 or 465 or 587, selectTLSin drop-down menu.
    • For POP3 connection you may want to select an option toLeave a copy of messages on the server.
    • For Outlook 2013/2016: enterInboxin theRoot Folder Pathfield.
  4. ClickOK, clickNextandFinishto complete setup.

Important: there is a known issue for IMAP accounts on Outlook 2013/2016.

Symptoms:

  • mail isn't populating
  • Sent Items, Outbox, Junk Email folder etc. show up as the subfolders of the Inbox folder.

Until Microsoft releases an update to fix the issue, use the following workaround:

  1. In Outlook 2013/2016, navigate to File > Info > Account Settings > Account Settings:

  2. Select the IMAP account and click Change (or double-click the IMAP account name)
  3. Navigate to More Settings > Advanced and enter INBOX in the Root folder path field
  4. Click OK > Next > Finish

All default folder will show up as top-level ones and mail will start populating to the Inbox folder.

Outlook 2016/2019

You can connect your Outlook 2016/2019 client either to an Exchange mailbox or to a POP/IMAP mailbox.

    • Exchange mailbox can contain 3 types of data: mail. contacts and calendar items. This data is synchronized between the server and any mail client configured to connect to the mailbox. Exchange mailbox can be accessed via MAPI, IMAP or POP. Depending on the protocol you are using to connect to the mailbox, different features will be supported:
      • MAPI
        • Direct live connection to the mail server.
        • Shared Inbox, Calendar, Contacts, Tasks, Notes and Free/Busy information for scheduling, Public Folders.
        • Out of Office Assistant.
        • Server-side rules and alerts.
        • Optional server-side spam management.
      • IMAP
        • Direct live connection to the mail server.
      • POP
        • Send/Receive mail only.

Important: We strongly recommend to use the IMAP protocol instead of POP protocol as POP protocol is considered to be outdated and can cause the performance issues for your mailbox.

  • POP/IMAP mailbox contains mail data only. The following features are supported:
    • Enabling forwarding.
    • Adding a mailbox to a Distribution List.
    • Setting up autoreplies.
    • Hiding a mailbox from address book.
    • Storage management.

Connecting Outlook 2016/2019 to an Exchange mailbox

Outlook 2016/2019 can only be connected to your Exchange mailbox using Autodiscovery feature:

The only information you need to know to set up Outlook using this feature is your email address and mailbox password.

Notes:

  1. A special DNS record must be configured for your domain in order for you to take advantage of the Outlook AutoDiscovery feature.
    Read the Knowledge Base article on for more information.
  2. Outlook 2016/2019 enables Cached Mode by default when configuring using AutoDiscovery feature.

To set up Outlook 2016/2019 using the AutoDiscovery feature:

  1. Navigate to Windows Control Panel > Mail > Show Profiles > Add. Specify your Profile Name and click OK.

  2. On the Auto Account Setup page type your name, primary email address, and your mailbox password twice, then click Next.

To manually connect to your Exchange server using POP/SMTP or IMAP/SMTP protocols:

  1. Go to your Outlook mail settings from Start > Control Panel > Mail.
  2. If you cannot locate the Mail icon within Windows Control Panel, try the following steps:
    • To the left of the Windows Control Panel, but in the same window, select Classic View.
    • If Mail still does not appear as an individual icon, look for it under Show 32-bit Control Panel Items.
  3. Click the Show Profiles button and click Add for a new profile.
  4. Specify your Profile Name (can be anything) and click OK.
  5. Proceed with the steps in the next section, according to your version of Outlook.
  6. Choose E-mail Account and click Next.
  7. Choose Manually configure server settings or additional server types and click Next.
  8. Choose Internet E-mail and click Next.
  9. Type in the settings:

    • Your Name: Display Name of the user
    • Account Type: Choose POP or IMAP. Note: We strongly recommend to use IMAP.
    • Incoming mail server. *
    • Outgoing mail server. *
    • User Name: full email address of Exchange mailbox
    • Password:Exchangemailbox password.

  10. Click More Settings > Outgoing Server and check My outgoing server (SMTP) requires authentication box

  11. Switch to Advanced tab and put in the settings

    • Use the following type of Encrypted connection (for Incoming Server): SSL (port number changes automatically to 993 for IMAP;  to 995 for POP)
    • Use the following type of Encrypted connection (for Outgoing Server): TLS (you can use ports 25, 465 or 587).
      Notes:
      • Exchange 2016 supports only ports 25 and 587.
      • You can also increase server timeout setting to improve performance.
  12. Click OK > Next > Finish.

Confirm that the necessary services are enabled for the user's mailbox:

  1. Log in to HostPilot and navigate to the Services > Mailboxes page.
  2. Click the user's Display Name to view the settings for the user's mailbox.
  3. Click Advanced Settings.
  4. Make sure thatPOP (IMAP) checkbox is selected. If they are not, select them and click Save Changes.

Outlook Express

You can use Outlook Express to access your Exchange account and receive mail. POP3, IMAP4 and SMTPprotocols are supported.

Important: We strongly recommend to use the IMAP protocol instead of POP protocol as POP protocol is considered to be outdated and can cause the performance issues for your mailbox.

Note:

  • POP3 provides dynamic access to the Exchange server but doesn't allow you to work with mail stored on the Exchange server. POP3 is a fast protocol, used mostly to download mail from the Exchange server to the local computer. After downloading a copy of a message, the message is deleted from the Exchange server by default, unless you configure your POP3 client to leave a copy of downloaded message on the server.
  • IMAP4keeps downloaded messages on the Exchange server. This allows you to work with mail on the Exchange server, use offline and remote storage of messages, manage profiles, and use common mailboxes. Read the Knowledge Base article on  for more information.

In order to connect Outlook Express to an Exchange mailbox:

  1. Open Outlook Express and in the top menu select Tools > Accounts

    Tools > Accounts

  2. Navigate to the Mail tab and click Add > Mail

  3. In the corresponding window, type in the Display Name, the Email Address, the server information and the email address and the password.
    Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. The server information can be found under HostPilot® Control Panel > Home > Exchange servers and settings > Incoming Mail (POP/IMAP) / Outgoing Mail (SMTP).

Currently Public Folders on Exchange 2013 are not supported in Outlook 2011 for Mac. Microsoft is working towards resolution.

Note: Outlook 2011 downloaded from the HostPilot® Control Panel or My Servicesdoes not require product key.
If you have MS Office 2011 installed on your Macor Outlook 2011 is prompting for a product key, please follow the below steps:

  1. Uninstall MS Office 2011.
  2. Install Outlook 2011 downloaded from HostPilot as a stand-alone version and configure the account.
  3. Install MS Office 2011 back if needed.

To set up Outlook 2011 for Mac:

  1. Open Outlook and navigate to Tools > Accounts.

    Outlook 2011 > Tools > Accounts


  2. In the Accounts window, click the plus sign '+' in the lower left-hand corner and choose Exchange.
  3. In the new window, fill in the following fields, then click on Add Account.
    • E-mail address: Enter your primary email address (UPN) for your Exchange mailbox.
    • Method: SelectUser Name and Password.
    • User name (use one of the following):
         A. Type your mailbox username in Domain\Username format. Read the Knowledge Base article on
       for more information.
         B. Type your primary email address.
    • Password: Type your mailbox password.

  4. Outlook will attempt to determine settings for the new Exchange account automatically.

    For this step, the instructions depend on whether you have Autodiscover record set up:

    • If an is configured for the domain name, Outlook will determine settings automatically. You will get a prompt such as the one below. Select the option 'Always use my response for this server' and click on Allow.

      Important: you will still need to configure Directory Service to perform Global Address List lookups. Please skip to step 5.

    • If no exists for the domain, Outlook 2011 will prompt you for the server name. To find out the correct server name:
      • Exchange 2010/2013: In HostPilot, navigate to Get Started > Step 2 > Entourage Setup Instructions > Step 4 > If no Autodiscover record exists for the domain. It should be similar to https://west.exchXXX.serverdata.net/EWS/Exchange.asmx where west.exchXXX.serverdata.net is your Exchange Proxy Server and west. or east. depends on your Default Exchange Server.

  5. To perform Global Address List lookups, you need to configure Directory Service. To do this, navigate to Outlook > Tools > Accounts, select the newly created Exchange account, and click theAdvanced buttonin the lower right-hand corner of the window.

  2. In the Accounts window, click the plus sign '+' in the lower left-hand corner and choose Exchange.

  3. In the new window, fill in the following fields, then click on Add Account.
    • E-mail address: Enter primary email address (UPN) for your Exchange mailbox.
    • Method: SelectUser Name and Password.
    • User name: Enter your primary email address.
    • Password: Enter your mailbox password.

  4. Outlook will attempt to determine settings for your Exchange account automatically.
    If this is successful you will see a prompt as below. Select the option 'Always use my response for this server' and click on Allow.

    If Outlook is not able to get the automatic configuration settings it will prompt you for the server name.
    Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. To find out the correct server name:
    In HostPilot, navigate to Home > Exchange servers and settings > Exchange proxy setting. Use it to create server name of the format:

    https://west.exchXXX.serverdata.net/EWS/Exchange.asmx where west.exchXXX.serverdata.net is your Exchange Proxy Setting and west. or east. depends on your Default Exchange Server.

    Enter the server name and click Add Account. The account is now set up and you can use it to send and receive email.
    Note: If you would like Outlook 2016 to be able to automatically configure Exchange accounts you need to set up an  for your domain name.

To configure Outlook 2016 for Mac to connect to a POP/IMAP mailbox:

1. Open Outlook and navigate to Tools > Accounts.

2. In the Accounts window click on E-mail OR click the plus sign (+) in the lower left-hand corner and choose E-mail.

In the new window, fill in the following fields, then click Add Account.
E-mail address: enter your primary email address (UPN) for your Exchange mailbox.
Password: type your mailbox password.

User name: enter your primary email address.
Type: select POP or IMAP.

Connecting Entourage Web Services Edition to an Exchange mailbox

Microsoft Entourage 2008 for Mac, Web Services Edition uses Exchange Web Services as the primary protocol to communicate with Exchange Server. In addition to several calendaring improvements, this new version of Entourage synchronizes notes, tasks, and categories with Exchange Server.

Important notes:

  • You can set up Entourage Web Services Edition ONLY if your account is on an Exchange 2007 or Exchange 2010 server. Additionally, Entourage EWS is required if you are on the Exchange 2010 plan.
  • You must have Entourage 2008 installed before you upgrade to Entourage EWS. If your hosting plan includes Entourage and Outlook, you can download Entourage from:
    • Administrators: HostPilot® Control Panel > Get Started Here! > Step 2 (Download & Set Up Your Email Client) > Download Entourage
    • Users: My Services >Downloads & Instructions > Outlook section. (It might not be available if disabled by the administrator in Mailbox Properties, or if your plan does not include it).
  • To install Entourage Web Services Edition, follow the instructions in the article , then proceed with setup as described below.
    • If you are using the MS Office Home and Student Edition, we DO NOT recommend that you install Entourage 2008 unless you have access to the MS Office Home and Student Edition installer. (The MS Office Home and Student Edition will not function until you reinstall it after the Entourage 2008 install is complete.)
  • If Autodiscover record is configured for your domain name you will be able to create an Entourage profile automatically. Read the Knowledge Base article on for more information.

To configure an Exchange account in Entourage Web Services:

  1. Open Entourage and navigate to Tools > Accountsin the menu:

  2. Click New and select Exchange:

  3. Enter your email address, selectMy account is on an Exchange server and click the right arrow:

  4. Wait for Entourage trying to automatically detect your server settings.

    Automatic setup will be successful if you have

    record configured.
    • When prompted with Autodiscover server alert, select Always use my response for this server and click Allow:

    • Enter your login information in one of the following ways:
      • Exchange Domain: Leave this field blank
      • Account ID: Enter the primary email address (UPN) of your mailbox
      • Password: Enter your mailbox password

    • When finished, under the Entourage menu, select Preferences and then Compose. Make sure that Automatically check names when sending messages is checked.  (This box is unchecked by default.)
    • Entourage profile setup is complete.
  5. If Entourage is unable to automatically detect server settings you will need to enter the server names manually:

  6. Specify the settings in the following way:
    • Your Name: Your name
    • Email address: Your full email address
    • Exchange server: Your Exchange server name
    • LDAP Server: Your LDAP server name

      Notes:

      • Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. You can find both Exchange server and LDAP server names here:
        • Administrators: HostPilot > Home > Downloads > Set up email client > Outlook for Mac
        • Users:My Services > Downloads & Instructions > Outlook section
      • You can compose both Exchange and LDAP servers from your Exchange proxy server name. Detect your Exchange proxy server on page HostPilot > Home > Exchange Servers and Settingsand follow this scheme:

    • Account ID: Enter the primary email address (UPN) of your mailbox
    • Password: Enter your mailbox password

      - Exchange domain: Enter your Exchange domain
      - Account ID: Enter your Exchange username
      - Password: Enter your mailbox password

  8. Click Verify My Settings and after successful verification click the right arrow to continue:

Connecting Entourage 2004/2008 to an Exchange mailbox

Note: If you are using the Entourage EWS edition, please read the Knowledge Base article on

. Entourage 2004/2008 is not supported on Exchange 2010/2013.

  1. Open Microsoft Entourage.
  2. Go toTools > Accounts.
  3. Switch to the Exchange tab and click onNew, then click on Exchange.
  4. Click on Configure account manually.
  5. Under the Account Settings tab, fill in the following information:
    • Account name: Give any name to the account. Suggested account name is 'Intermedia Exchange'.
    • Name: Name of user as it should appear when he sends out emails.
    • Email address: Type the primary email address of the mailbox.
    • Account ID: Type the mailbox username. To find the username, read the Knowledge Base article
    • Domain: Type the domain. To find the domain, read the Knowledge Base article
    • Password: Password associated with the mailbox.
    • Exchange server: your.proxy.server/exchange/mailbox email address (for example, owa018. intermedia.net/exchange/jsmith@domain.com).
      Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. To find the correct proxy server name, log in to HostPilot® Control Panel or My Services and navigate to Get Started > Advanced Settings.
      • Ensure that the following is selected: "This DAV service requires a secure connection (SSL)"
      • Ensure that the following is NOT selected: "Override default DAV port"

  6. Under the Advanced tab, fill in the following information:
    • Public folder server: your.proxy.server/public
      • Ensure that the following is selected: "This DAV service requires a secure connection (SSL)"
      • Ensure that the following is NOT selected: "Override default DAV port"
    • LDAP server: ldapXXX.msoutlooklonline.net
      • Ensure that the following is selected: "This LDAP server requires a secure connection (SSL)"
      • Ensure that the following is selected and set to 636: "Override default LDAP port"
    • Search base: OU=ExchangeAccountUsername,OU=Hosting,DC=exchXXX,DC=msoutlookonline,DC=net.
      To find the correct settings for your account navigate to HostPilot > Get Started > Step 2 > Entourage Setup instructions.

As a the final step, please follow the instructions below for either Entourage 2004 or 2008:

  • Entourage 2004: Under the Preferences tab, click on the Compose section.
    Ensure that Automatically check names when sending messages is enabled.
    Note: This checkbox is unchecked by default.
  • Entourage 2008: Under the Entourage menu, select Preferences and then Compose.
    Ensure that Automatically check names when sending messages is enabled.

Apple Mail

You can connect your Apple Mail client either to an Exchange mailbox or to a POP/IMAP mailbox.

    • Exchange mailbox can contain 3 types of data: mail. contacts and calendar items. This data is synchronized between the server and any mail client configured to connect to the mailbox. Supported features included are:
      • MAPI
        • Direct live connection to the mail server.
        • Shared Inbox, Calendar, Contacts, Tasks, Notes and Free/Busy information for scheduling, Public Folders.
        • Out of Office Assistant.
        • Server-side rules and alerts.
        • Optional server-side spam management.

Important: We strongly recommend to use the IMAP protocol instead of POP protocol as POP protocol is considered to be outdated and can cause the performance issues for your mailbox.

  • POP/IMAP mailbox contains mail data only. The following features are supported:
    • Enabling forwarding.
    • Adding a mailbox to a Distribution List.
    • Setting up autoreplies.
    • Hiding a mailbox from address book.
    • Storage management.

This article will guide you through Mail.app setup to work with your Exchange mailbox.

Note: Intermedia support options are limited for Mac Mail since there is no way to open a case with Apple. Here is some information on Known Issues with Apple Mail.

To set up Mac Mail:

  1. Starting from the Mac Desktop, click the Macintosh HD icon.
  2. Select Mail.app.
  3. Open the Mail menu at the top of the screen and choose Accounts....

  4. On the Accounts page, click the "+" at the bottom left of the window.
  5. Choose Exchange as account type on this step. This opens the Add Account window.

  6. In the Add Account window, fill in the information and click Continue when done .
    • Full Name: your name as you want it displayed on emails
    • Email address: your Primary email address
    • Password: your mailbox password

      Note: if there is an Autodiscover record for your domain, the server settings will be filled in automatically and you can proceed with adding the account by clicking Create/Done (wording depends on the OS X and Mail.app versions).

  8. Once you click the Create/Done button, you will see the Accounts page (similar to the one shown below). This screen will show the information about the account you just created. At this point the account has been created and is ready for use.

Unlike Entourage or Outlook 2011, using Mac Mail to connect to the Exchange server requires three separate applications to handle Email, Contacts and Calendar. The three programs are the following:

  • Email: Mac Mail
  • Contacts: Address Book contacts

  1. Create a CNAME Autodiscover record for your domain to point to Office 365 servers:
